Team / organisation unit description

The Master Data Management Specialist is responsible for creating and maintaining master data records in the KCI ERP systems as well as for related query handling and issue resolution. He/she has extensive knowledge of the overall ERP system and how the master data elements affect and trigger transactional data in the system. In his daily activities he/she will be responsible for the management of the master data of multiple country organizations and will work independently with minimal supervision. The incumbent needs to work very thoroughly and systematically as potential data errors might not be easy to detect and could cause significant volume of transactional data to be incorrectly produced which could lead to customer dissatisfaction and/or significant correction efforts. The Master Data Management Specialist is in regular contact with our internal customers (country organisations and SSC) both by phone and email. He/she has excellent analytical skills to determine if the requested master data changes will lead to the expected transactional results and in case of transactional errors he/she needs to research, analyze and detect the root cause of the errors. The Master Data Management Specialist reports to the Master Data Management Team Leader.

Tasks and activities

  • Responsible for creating and maintaining a consistent data base for all master data currently defined for the organization such as but not exclusively:
  • Creating and maintaining 3rd party, intercompany and employee supplier records, including purchasing, payment, accounting, tax and banking information setup
  • Creating and maintaining banks, bank branches, bank accounts
  • Creating and maintaining 3rd party and intercompany customer records, including salesperson, sales channel, payment terms, credit limit setups
  • Creating and maintaining standard and customer specific sales pricelists, price modifiers and contracts which determine the selling price of products sold to our customers
  • Understanding business models, developing and testing the ERP solution for new requirements
  • Creating and maintaining KCI and local inventory items including finished goods, disposals and spare parts as well as expense and charge items. Entering item costs and list prices and executing the annual standard cost update process. Entering item financials (business unit, account, product code). Creating and maintaining item categories.
  • Creating and maintaining chart of account values globally in all Oracle instances, ensuring that the different systems are synchronized, maintaining the Global Chart of Account dictionary on the KCI Intranet. Adjusting the chart of account segment based cross validation rules if required.
  • Maintaining and controlling automatic interfaces for currency exchange rates and manually entering exchange rates if required.
  • Creating and adjusting the ERP HR records if required
  • Understanding and maintaining approval workflows and approval limits in Oracle and related issue resolution.
  • Provides a control function to ensure that only properly authorized master data elements are established in the ERP system in accordance with company protocols
  • Proactively manages the data quality by running and evaluating regular check reports and statistics
  • Promotes strong collaborative relationships between the Master Data team and all other SSC teams, IT and country organizations
  • Completes all activities in timely manner and in accordance with the country SLA`s and track the necessary data as required
  • Ensures that all relevant Internal Audit & Business Compliance guidelines, controls and policies are followed
  • Raises any issues/problems to the MDM Team Leader as necessary
  • Identifies areas of process improvements, participates in improvement and standardization projects
  • Creates and maintains training materials and perform trainings on MDM related topics
  • Creates and maintains MDM standard operational procedures


Language 1:





BSC diploma

Experience in this profession

1-3 years

Additional requirements (certifications, special knowledge, software etc.)

  • College or University degree
  • Minimum 2+ years relevant work experience
  • Fluent English is required (written and verbal), other foreign languages are an advantage
  • ERP knowledge (SAP, Oracle or equivalent) is an advantage
  • Basic accounting knowledge is an advantage
  • Work experience in a Shared Service Centre is preferred
  • Good MS Office knowledge and profound Excel skills
  • Excellent oral and written communication skills
